UTeM Course Registration, Add/Drop & Credit Transfer Guide

Peer-Reviewed & Fact-Checked Guide Authored by UTeM Senior Undergraduates & verified against official university academic handbooks.
Fact-Checked: August 2026 • Editorial Standards ➔

Course registration is a crucial administrative exercise conducted before and during the first two weeks of every semester at Universiti Teknikal Malaysia Melaka (UTeM). Enrolling in the correct subject codes, balancing credit hour limits, and satisfying prerequisite conditions ensure you maintain your Graduate On Time (GOT) status.

This guide explains how to register courses through the UTeM Student Portal, how to resolve group capacity limits and timetable clashes during Add/Drop week, and how direct-intake diploma graduates can apply for subject credit transfers (Pindahan Kredit).

1. Credit Hour Limits by Academic Standing

Your maximum allowable credit load per regular semester is strictly governed by your previous semester GPA / CGPA status:

Academic Standing (Status) CGPA Range Max Credit Allowed
Kedudukan Baik (KB - Good Standing) CGPA ≥ 2.00 12 to 20 Credit Hours (Standard load: 15–18)
Kedudukan Bersyarat (KS - Academic Probation) 1.70 ≤ CGPA < 2.00 Max 12 Credit Hours (Remedial load)
Final Semester Overload Request Graduating Students (KB) Up to 21–22 Credits (Dean's Special Approval Required)

Need to forecast how your new subject credits will impact your standing? Use our interactive UTeM GPA / CGPA Calculator to calculate expected grade scenarios.

2. Mastering Add / Drop Week (Minggu Tambah / Gugur Kursus)

During Weeks 1 and 2 of the semester, the online Add/Drop module opens on the student portal:

  1. Add Subject (Tambah Kursus): Available until the end of Week 2. You can switch tutorial groups or enroll in elective courses provided seats remain open.
  2. Drop Subject (Gugur Kursus): Available until Week 2 without financial or academic penalty (no grade recorded on transcript).
  3. Subject Withdrawal (Tarik Diri Kursus / TD): If you need to drop a subject after Week 2 up to Week 8, a 'TD' status will appear on your transcript. This does not penalize your GPA calculation but tuition fees for that subject remain non-refundable.

3. What To Do When Groups Are Full or Timetables Clash

When a required core subject is fully booked or clashes with your timetable, follow these official escalation steps:

  • Step 1: Consult Your Academic Advisor (Penasihat Akademik / PA): Explain your graduation plan and obtain their digital endorsement.
  • Step 2: Submit Manual Add Form (Borang Permohonan Pendaftaran Kursus): Available at your faculty's Academic Management Office (Pejabat Pengurusan Akademik).
  • Step 3: Head of Department (Ketua Jabatan / KJ) Approval: If 10+ students face a clash, the department can open a new lecture group or increase capacity.

4. Credit Transfer (Pindahan Kredit) for Diploma Graduates

Students transitioning from a polytechnic, private college, or UTeM diploma to a degree program can transfer credits if they meet the following university criteria:

  • The course syllabus has at least an 80% match with the corresponding UTeM degree syllabus.
  • You achieved a minimum grade of Grade C (2.00) or Grade B depending on faculty requirements.
  • Applications must be submitted within the first semester of registration along with certified transcripts and course syllabi.

5. Frequently Asked Questions (FAQ)

What happens if I register fewer than 12 credit hours? Enrolling in fewer than 12 credits classifies you as a part-time student for that semester, which can affect PTPTN loan disbursements and residential college eligibility unless you are in your final graduating semester.
Can I take a course if I failed its prerequisite? No. The UTeM enrollment portal automatically locks downstream courses until the prerequisite subject has been repeated and passed.
